1. Who We Are

Quick Qualify operates the platform at www.quickqualify.net. For the purposes of applicable data protection law, Quick Qualify is the data controller for personal data collected through our website and Service.

2. Data We Collect

We collect the following categories of personal data:

3. How We Use Your Data

We use your personal data for the following purposes:

  • Providing the Service: Processing lead qualification requests, routing results to your agents, and syncing with your CRM.
  • Account management: Creating and managing your account, verifying your identity, and communicating with you about your account.
  • Billing: Processing Subscription payments through Paddle and managing renewals and cancellations.
  • Improving the Service: Analysing aggregated, anonymised usage patterns to improve product features and performance. We do not use individual lead data or your customers' personal data for this purpose.
  • Customer support: Responding to your enquiries and resolving issues.
  • Legal compliance: Complying with applicable laws and regulations, and responding to lawful requests from public authorities.

4. Legal Basis for Processing (GDPR)

If you are located in the European Economic Area (EEA) or the UK, we process your personal data under the following legal bases:

  • Contract performance: Processing necessary to deliver the Service you have subscribed to.
  • Legitimate interests: Improving our Service, preventing fraud, and communicating with you about relevant product updates.
  • Legal obligation: Complying with applicable laws, tax obligations, and regulatory requirements.
  • Consent: Where required by law, such as for non-essential cookies or marketing communications.

5. Lead Data — Important Notice

When you use Quick Qualify, you may input personal data about your customers and leads ("Lead Data") into the Service. You are the data controller of that Lead Data, and we process it on your behalf as a data processor. This means:

  • You are responsible for ensuring you have a lawful basis to share Lead Data with us for processing.
  • We process Lead Data only to provide the Service to you and for no other purpose.
  • We do not sell Lead Data, share it with third parties for marketing, or use it to train AI models.
  • We retain Lead Data for up to 90 days from the date of processing, after which it is automatically deleted. You may request earlier deletion by contacting us.

6. Sharing Your Data

We do not sell your personal data. We share data only in the following circumstances:

  • Paddle: Our payment processor and merchant of record. Paddle processes billing data under its own privacy policy.
  • Supabase: Our database infrastructure provider, used to store account and service data securely.
  • Resend: Our transactional email provider, used to send account and service notifications.
  • Anthropic: Our AI provider whose models power lead qualification. Data sent to Anthropic is subject to Anthropic's API data usage policy. Anthropic does not use API data to train models by default.
  • Legal requirements: If required by law, court order, or government authority, we may disclose your data as required.
  • Business transfers: In the event of a merger, acquisition, or sale of assets, your data may be transferred to the acquiring entity, subject to the same protections as described in this policy.

7. International Data Transfers

Quick Qualify operates globally. Your data may be processed in countries outside your own, including the United States and the European Union. Where we transfer data from the EEA or UK to countries that do not have an equivalent level of data protection, we rely on appropriate safeguards such as Standard Contractual Clauses (SCCs) or the UK International Data Transfer Addendum.

8. Data Retention

  • Account data: Retained for the duration of your Subscription and for up to 12 months after account closure, after which it is deleted or anonymised.
  • Lead data: Retained for up to 90 days from the date of processing, then automatically deleted.
  • Billing records: Retained for up to 7 years as required by applicable accounting and tax laws.
  • Usage logs: Retained for up to 12 months for security and debugging purposes.

9. Your Rights

Depending on your location, you may have the following rights regarding your personal data:

  • Access: Request a copy of the personal data we hold about you.
  • Rectification: Request correction of inaccurate or incomplete data.
  • Erasure: Request deletion of your personal data, subject to legal retention obligations.
  • Restriction: Request that we limit how we process your data in certain circumstances.
  • Data portability: Receive your data in a structured, machine-readable format.
  • Objection: Object to processing based on legitimate interests.
  • Withdraw consent: Where processing is based on consent, withdraw it at any time.
  • CCPA rights (California residents): You have the right to know, delete, and opt out of the sale of your personal information. We do not sell personal information.

10. Cookies and Tracking

We use cookies and similar technologies on our website to:

  • Keep you logged into your account (essential cookies)
  • Understand how visitors use our website (analytics cookies)

You can control cookies through your browser settings. Disabling cookies may affect certain features of the Service.

11. Security

We implement industry-standard security measures to protect your data, including TLS 1.3 encryption in transit, AES-256 encryption at rest, access controls limiting which personnel can access data, and regular security reviews. No method of transmission over the internet is 100% secure; while we take reasonable precautions, we cannot guarantee absolute security.

12. Children's Privacy

The Service is not directed at individuals under the age of 18. We do not knowingly collect personal data from children. If you believe we have inadvertently collected data from a minor, please contact us and we will delete it promptly.

13. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date at the top of this page and notify you by email or in-app notice at least 14 days before changes take effect.
